The firm sends a link; the client answers a questionnaire in their own language; the firm reviews, records its decision, and the file carries the audit trail a supervisor will ask for. When the retention period set by law runs out, the file is destroyed rather than forgotten. It runs on its own infrastructure inside the EU, and it never stores copies of passports or identity cards: firms check those outside the software, and the file records only that the check was done.
